Full Job Description

The post holder of AUB Academy Administrator will work closely with the AUB Academy team supporting the work of a busy and dynamic department. Administrative support will be broad-based and varied and the postholder will be the primary point of contact for enquiries from prospective students, parents, and clients by email, phone, or in person. This will include dealing with all course/client bookings, entering course details into database systems, overseeing automated booking systems, supporting manual payments, accurately recording and populating databases, maintaining accurate booking and income data, proactively monitoring student and tutor feedback, supporting Visiting Tutor recruitment and communications, booking and securing resource allocations, specialist resources, and actioning materials orders.

The post holder will deliver excellent communication skills and be a highly organised team player, able to plan, prioritise, and adapt to the changing demands of AUB Academy. The post holder will support efficient and effective delivery of AUB Academy's wide variety of courses ensuring teaching contracts, timesheets, and payroll claims are accurately documented, recorded, and monitored at all times. The post holder will be expected to work closely with internal stakeholders, for example, Human Resources, Finance, Timetabling & Payroll, Reception, and Campus Services. They will possess excellent written and verbal communication skills and have accrued experience using the latest Microsoft productivity software systems.

The successful applicant will need to be confident team-player, able to use their initiative independently and be flexible to the needs of AUB Academy team, which at times may require the post holder to provide financial/customer data reports at short notice. They will be able to evidence their experience supporting administration at an elevated level or delivering a range of appropriate administration skills in a related environment. They will have a good understanding of the role Short Courses play at Arts University Bournemouth. They will be able to evidence a strong commitment to delivering an excellent experience for students and teaching teams in a creative arts university.

The AUB Academy department deliver courses throughout the annual cycle and the postholder will need to cover the office 08.30-17.00 (Mon-Thurs) and 08.30-16.30 (Fri), occasional flexible start/end times (early evenings and Saturday's) will be requirement of the post-holder which will be in arrangement with the line manager.

This position involves working with children (under 18s) / vulnerable people and therefore requires compliance with the University's Safeguarding Policies, including the requirement for enhanced Disclosure and Barring Service clearance prior to the commencement of employment. The University is committed to stringent Safeguarding practices, including in its practices around the recruitment and selection of staff, to positions which involve working with children and/or vulnerable people. The successful candidate will be required to complete AUB approved Safeguarding Training.
