Full Job Description

To coordinate logistical aspects of the Academy, ensuring all player and staff documentation is up to date. Ensure databases are current, liaise with the EFL/Premier League, Football Association and County FA. To be responsible for the organisation of all U9-U15 Fixtures. You will be expected to attend fixtures., Players:

Players

  • Ensure all U9-U15 trialist/signing paperwork is completed & assign players to systems.

  • Obtain permission for trialists from parent clubs exercising 7-day approach and permission.

  • Arrange pre/mid/end-of-trial meetings, track trial dates, send reminders to the Recruitment department and ensure all players are eligible for fixtures.

  • Obtain International Clearance for foreign nationals and ensure you are up to date with current protocols for players of different registration status. Track national team eligibility.

  • Collate and send player distance appeals, where applicable.

  • Ensure all players have the correct training kit.

  • Track PRS cards and any lost or damaged to charge parents.

  • Manage the Football Intelligence Platform (FiP).


  • Fixtures (U9-15s)
  • Arrange all fixtures for the U9-U15 age groups, which include: Liaise with opposition and send out match confirmations.

  • Send out squad list and fixture details.

  • Organise transport, timings, locations and pick-up list.

  • Match officials.

  • Organising and managing kit with the kit assistant.


  • Staff
  • Assist the HR department with HR tasks when necessary for Academy Staff

  • Update databases: CPD log, TNA, CPS SRS, Staff Files Soft Copy and OneDrive virtual filing.

  • Maintain and update the new staff list.

  • Communicate with any staff who need qualifications renewing before expiry.


  • PGACC (Professional Game Academy Audit Company)
  • Assist in the PGAAC process each season.

  • Track and record fire safety logbook in the office.


  • General
  • First point of contact for the Academy.

  • Periodically conduct facility checks to ensure for any issues, especially prior to fixtures.

  • Manage damage log and liaise with maintenance to get fixed.

  • Assist with the Premier League on the Health & Safety Audit.

  • Manage the Academy visitor requests, with the Academy Safeguarding Officer, ensuring the policy is properly followed.

  • Be available for Sunday's games, each week.

  • Minute any meetings deemed relevant.

  • As a member of staff to ensure in all matters, you follow and actively promote the club's mental health policies and practices to ensure an open, non-judgmental and inclusive environment for everyone engaged with the club.

  • As a member of staff to ensure that you to adhere to the club's safeguarding policies and procedures and are committed to our safeguarding values, creating a safe and positive environment for all those who interact with the club.

  • The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned to the employee from time to time; or the scope of the job may change as necessitated by business demands., Please note this role does require the incumbent to available for regular Sunday working and some evenings, weekends, and bank holidays.

  • Degree in Sport Field or Business Management field. (Desirable)

  • Experience of working in elite sports. (Desirable)
