Full Job Description

As an Administrator for the Public Health Systems, Strategy and Partnerships Team, you will provide detailed and accurate administration support to ensure that records and reports are up to date, helping the Public Health and Wellbeing division to provide support to those in the community who may need it. You will be part of a small, experienced team, who are friendly and welcoming and training, and support will be given.
The team are currently hybrid working, mixture of working remotely at home and working in the office.
This is for a limited term contract until end of March 2025.,

  • You will act as a main point of contact for the Public Health and Wellbeing division, providing administrative support within our Smokefree Service.

  • Daily you will deal with Smokefree enquiries and information requests by interacting with customers, colleagues and partners to maintain strong working relationships and providing our residents with the best possible service.

  • You will have responsibility of collating, maintaining records and analysing information to ensure accurate statements are produced and data is retrieved from computerised systems and interpreted.

  • You will communicate specific concerns, queries and issues and ensure they are accurately and promptly relayed when necessary.

  • You will also be required to accurately record and assist in the monitoring and maintaining of budgets/financial information/resources.

    You will hold an NVQ 2 or 3 GCSE's grades C (Grade 4) or above or have equivalent qualification or equivalent relevant experience in office administration.

  • You will have the ability to take and type accurate minutes of meetings, with the skill to format documents to a high standard.

  • You will have the ability to communicate effectively to customers, professionals and partnership agencies using a variety of media i.e. email, phone, face to face etc.

  • You will have great IT skills and its practical application, including experience of using Microsoft Office (Outlook, Word, Excel, PowerPoint) and maintaining computerised record systems.

  • You will have experience in using databases, including running standard reports, analysing data and presenting findings.

  • You will have experience of basic financial procedures i.e. petty cash, invoicing etc.

  • Although not essential, you may have experience of dealing with challenging calls from and to young people regarding life skills and life experiences.
