Full Job Description

We are looking for a full-time permanent Assistant Contract Manager to join our friendly and supportive team., This role will require the individual to develop relationships and establish themselves as a key member of the operations team. You will be responsible for assisting with managing contracts, maintaining long term relationships with our clients, overseeing the cleaning teams and ensuring compliance within the portfolio - this could be either Central London or Greater London.

Your duties would include but are not limited to:

  • Supporting with the management of contracts within the portfolio

  • Supporting the Contract Manager in scheduling and taking minutes of regular client meetings at an agreed frequency, to discuss contract performance/development, any KPI's, ongoing improvements, future requirements & promote Regular Cleaning's innovations

  • Ensure that the service we are offering exceeds client expectations and builds lasting relationships

  • Completion of Quality audits across sites at agreed frequencies

  • To ensure wage budgets are followed and any discrepancies are authorised

  • Support and aid delivery of our Sustainability Strategy including supporting our social value projects and our Net Zero 30 target

  • Responsible for recruitment & onboarding of new colleagues, ensuring right to work checks, site inductions & training are carried out in line with Regular Cleaning policies & processes

  • To coach Regular Cleaning field colleagues to encourage their development and progression

  • Ensure the completion of a 3-month probation with all new colleagues

  • Ensure the cleaning teams are punctual, correctly dressed in the appropriate uniform and PPE at all times

  • Carrying out all colleague related meetings including informal discussion and taking minutes

  • Ensure colleagues are using time and attendance correctly to log in and out of site

  • Monitor/assess site stock levels to ensure adequate stores for each month and to avoid overstocking. Ensure all products have the appropriate COSHH documentation and that all products have been issued by Regular Cleaning

  • To produce task cards and specifications and regularly review these for every contract within your portfolio and use these to measure and monitor the performance of your cleaning team and appraise them accordingly

  • Ensure each contract is compliant by checking and maintaining H&S site folders and discussing any issues or amendments with the HSQE team

  • Report any accident or near miss immediately to the HSQE team, investigate and provide a comprehensive and detailed report including photographs

  • As a key communicator alongside the Contract Manager, you will communicate proposals of amended services to clients and assist in putting those proposals together

  • Communicate with suppliers to ensure an excellent service is delivered.

  • Capture all data on CMS - to include amending timesheets with updates at least weekly, producing work bills, ordering stores and carrying out regular comprehensive and meaningful audits using a tablet.

  • To provide cover of other portfolio's - to co-ordinate and manage the operations of all aspects of each contract - when required.

  • Proficient with Microsoft Office package

  • A high standard of verbal and written English (at least ESOL Level 2 or GCSE A to C grade)

  • Ability to communicate instructions, information and contract management and practical cleaning knowledge clearly and concisely

  • Basic knowledge of HR procedures and H&S guidelines

  • Experience within the cleaning industry

  • To work to a flexible time pattern in order to suit the needs of the business. This may include early mornings, weekends and evenings if required

  • Clean and valid Driving Licence

    Salary: £28,000 - £33,000 per year

    Working hours: 40 hours per week (This may include early mornings, weekends, nights and evenings if required to coincide with the client needs)
