Full Job Description

The Office Manager role is responsible for providing a comprehensive and effective Office Management and HR Service to Amphista ensuring matters are dealt with appropriately and in accordance with the Company's practices and procedures.

To be responsible for the effective and timely administration of Office and HR matters, acting as first point of contact and advising as appropriate.

This will include daily clerical tasks, scheduling appointments, planning meetings, managing phone calls and emails, and maintaining all aspects of the office. You will also support on broader facilities organisation and work closely with the Scientific Operations manager to ensure the smooth functioning of day-to-day office operations.

You will provide a positive welcome and general support to visitors.

You will provide strong reliable support for operations by creating procedures, striving for continuous improvement and ensuring companywide communications.

You will report to the HR Director and support with people and culture initiatives and HR administration.,

  • Office Management responsibility - order supplies (laboratory and office consumables), collect and goods-in receive deliveries, organise couriers, customer liaison, with oversight and management of delivery schedules to site.

  • Ensure the office remains clean and tidy and effective and efficient place for the team to work in.

  • Proactively support the Senior Leadership Team with administrative tasks

  • Providing administrative support to the Scientific Operations Manager. Book departmental meetings with rooms / schedule and plan calendar.

  • Designated Secretary to the H&S Committee, organising meetings, minutes and actions and participating in site inspections. Onboarding office H&S to new staff members. Maintain current list of fire wardens and first aiders, with renewal of certifications as appropriate.

  • Organise and manage catering companies, supporting with onsite management of lunches/refreshments.

  • Create and maintain a log of all suppliers' contact information.

  • Assist with setting up associated paperwork for new suppliers, preparing and sending POs and ad hoc financial support to the Senior Leadership Team.

  • Point of contact with Landlord agent for facility/site, in support of Scientific Operations Manager.

  • Supporting third party contractors when on site and by raising tickets for central equipment maintenance, etc.

  • Manage the Operations Intranet and H&S Intranet: manage associated files within MS Teams/Sharepoint.

  • Travel Management: as required, manages travel (domestic and international), logistics and venue management (hotels, etc) as needed to support visitors and operations team.

  • Ad hoc project work, as required.


  • HR Support
  • Providing advice and guidance on basic HR matters to members of the Company.

  • To be responsible for all administrative duties within the HR department.

  • To administer all pre-employment checks (using external supplier).

  • To partner with the HRD and leaders on the recruitment processes for all staff. Arranging interviews and ensuring the smooth running of interview days and dealing with queries from candidates.

  • To produce offer letters and contracts of employment for review by the HR Director prior to sign off.

  • To input/maintain all employee data on the HR System (Cezanne) (e.g., sickness details, pre-employment checks etc.).

  • To manage the new starters and leavers processes for all staff dealing with queries as required (e.g. door access and ANPR registration).

  • To be responsible for helping managers with the recording of leave, e.g., sick leave and producing reports from Cezanne and acting on absence issues in conjunction with the HR Director including or supporting management at first stage sickness absence meetings.

  • To support the business with Training Needs Analysis from appraisal documentation; including researching and supporting in the design and building of training via Learner Bubble and or, elsewhere

  • To be responsible for checking holiday entitlements on an annual basis ensuring any carry over entitlement is used by the expiry date.

  • To maintain an up-to-date library of job descriptions for all staff.

  • To work collaboratively with colleagues in the Company to deliver services effectively, efficiently, and flexibly.

  • To be responsible for keeping all HR files and records up to date and secure, dealing with confidential material with integrity and tact.

  • Support with HR initiatives throughout the year.

  • To undertake any other duties as and when required by the HR Director, commensurate with grade and experience.

    This role requires someone with a can-do attitude and who is comfortable with variety and ambiguity.
