The Opportunity…

In this dynamic role, you'll provide comprehensive support to our Delivery Director and assist the Director's direct reports, while also pitching in to support the wider team as needed. Your exceptional communication, organisational, and prioritisation skills will be put to the test in this fast-paced environment.

With your expertise in complex diary management, you'll ensure smooth operations and maximise efficiency within the Programme. This role offers regular interaction with senior-level contacts and access to confidential data, requiring a high level of tact and integrity., As a Personal Assistant, you'll provide professional, accurate, and reliable support to our Delivery Director and their direct reports, ensuring seamless operations across the department. Collaborating with and managing team assistants, you'll help cultivate an efficient administrative support network. Your responsibilities will include diary and itinerary management, preparing meeting packs, and maintaining updated contact lists. Other roles and responsibilities in this post include:

  • Manage document organisation and filing

  • Record and produce meeting minutes for key business meetings

  • Utilise IT systems proficiently for report and presentation preparation

  • Maintain accessible data and records

  • Provide office services including reprographics and binding

  • Coordinate meetings, travel, accommodation, and hospitality arrangements

  • Administer ordering and payment of goods and services using IT systems

  • Liaise with Finance for invoice payments and maintain cost records

  • Ensure confidentiality of all information

  • Stay in touch with team members during absences and address issues promptly

  • Respond to phone and email inquiries from external parties


  • Who you are…

    As our next Personal Assistant, you excel in organisation and communication, ensuring seamless operations for the Director. Your attention to detail, strong communication skills, efficient coordination and effective stakeholder engagement will be paramount in this role. Your adaptability and resourcefulness will enable you to thrive in dynamic environments, ensuring tasks are completed promptly and priorities are met. Other requirements for this role also include

  • Utilise software tools such as Outlook for diary and email management, along with proficiency in Microsoft Office applications like Word, Excel, and PowerPoint.

  • Embrace a flexible approach, adept at multitasking and taking initiative to drive tasks forward autonomously.

  • Demonstrate previous experience providing support to teams, showcasing your ability to collaborate effectively.

  • Uphold discretion and maintain confidentiality when handling sensitive information, ensuring trust and professionalism.

  • Pay meticulous attention to detail, ensuring accuracy and precision in all tasks undertaken.

  • Possess a solid foundation in general administrative and secretarial tasks, coupled with the agility to adapt to new systems and processes.


  • Previous experience in the energy industry as well as experience of working on SAP systems would both be advantageous however, not essential.
