Full Job Description

The Abbey School is an independent girls' school with almost 1000 students. The school spends some £5m pa on external goods and services provided by scores of suppliers. The Purchase Ledger Clerk is responsible for managing the purchasing cycle after procurement, dealing with and recording invoices, authorisations, and payments., The postholder will:

  • Support procurement activity

  • Verify and maintain supplier data

  • Ensure authorisation of invoices

  • Process supplier invoices

  • Reconcile supplier statements

  • Control and monitor supplier direct debits

  • Set up supplier payment runs

  • Prepare and update key supplier and expenditure analyses

  • Process management credit card expenditure

  • Process staff expenses

  • Control and record petty cash expenditure

  • Be primary point of contact, internal and external, for supplier matters

  • Investigate and resolve supplier queries

  • Assist with the year end audit

  • Work as part of the Finance Team to provide efficient support and assistance as required

    Good organisational skills, methodical

  • Ability to communicate clearly and effectively

  • Strong IT skills are preferred; good IT skills are essential

  • Demonstrates consistently high standards of personal and professional conduct

  • Develops good relationships and enjoys working as part of a team

  • Demonstrates empathy with students, parents and colleagues

  • Previous experience in a purchasing or procurement role is desirable
