Full Job Description

The Service Administrator's aim is to help and support the Head of Service and other members of the Team e.g. Calibration Service Engineer's to ensure the smooth daily operation of the department.

CCPI Europe is a technology company, focused on product leadership in its chosen markets. The company is planning both future organic growth and New Product Introductions based on development of innovative new products within the Marmon Group

The Service Administrator needs to be aware of both current and relevant new Product ranges, Software and working practices.

Maintaining good working relationships with: the Head of Service, Service Engineers, other Heads of Departments and colleagues to help CCPI to become the European Market Leader and Innovator in Temperature Measurement solutions for demanding applications.

Duties included but not limited to:

  • supporting the Head of Service, Calibration Service Engineers and other colleagues within Service

  • answering the telephone as the first point of contact and redirecting the call to the appropriate person as required

  • creating and preparing service quotes and sending these to customers

  • notifying customers via email of upcoming Service visit by the Engineers for the calibration of their equipment

  • maintaining the Service software portal, with customer information e.g. address, ovens, furnaces, instruments, calibration tolerances

  • Updating and maintaining the Engineers Schedule (Excel Spreadsheet or Calibration Portal)

  • Assisting in the preparation of risk assessments and method statements (RAMS) and sending these to the customer once approved by the Service Engineer(s), for all customers.

  • processing orders using Tricorn and generating delivery notes for the Service Engineers going to the customer's site.

  • Finalising customers calibration certificates as pdfs and issuing these and the associated documents e.g. data files, graphs, equipment certificates, etc to the customer

  • generating invoices in Tricorn and sending these out to customers before month end, if customer certificates issued

  • managing files and data

  • maintaining company information databases

  • scanning, filing and photocopying

  • any other reasonable task required by the company

    Microsoft Office - Word, Excel, PowerPoint, Access

    Desirable:

    Knowledge and awareness of the requirements of ISO 9001: 2015, ISO 17025: 2017 and AMS 2750.
