Full Job Description

The purpose of this role is to support the SHEQ Department with day-to-day administration tasks. Support SHEQ (Safety, Health, Environment, and Quality) administrative initiatives and projects as required by the organisation.,

  • Create and maintain reports, spreadsheets, statistics and presentations for the SHEQ department using Office 365 Suite Software (SharePoint, Excel, PowerPoint, Word etc) within required timeframes.

  • Supporting the SHEQ department with day-to-day administration tasks.

  • Respond to routine enquiries and correspondence via email and telephone.

  • Upload and maintain documents relevant to the Integrated Management System and the SHEQ internal software.

  • Assist with arranging routine annual external audits.

  • Collate information for external auditing of the business and ensure compliant documents are kept up to date.

  • Attend meetings where SHEQ representation is required to take minutes and follow up.

  • Support SHEQ department with incident investigations/Non-conformance close-outs, if required.

  • Obtain SHEQ department relevant quotations, creating purchase orders and send them to suppliers.

  • Request, log and maintain Supplier Evaluations from new and existing suppliers.

  • Evaluating company training needs, manage training bookings, certificate uploads, and maintain training matrix.

  • Create new starters profile on internal SHEQ software, allocate mandatory e-learning, send welcome email and assist new starters with their e-learning requirements.

  • Maintaining company policies, procedures and forms register.

  • Embrace and demonstrate Powersystems 5 principles of: Priority No.1 Health, Safety and Well-being, Professionalism, Pride, Partnership and Proactive

    Excellent IT skills, with knowledge of MS packages (Excel including graphs, PowerPoint and Word, SharePoint).

  • Confident with Software packages with willingness to learn their sue if new software is introduced.

  • Proficient in Mathematics and English.

  • Previous experience in an administrative business support role, ideally in a construction or engineering sector.

  • A willingness to get involved and support SHEQ improvements across the company.

  • Ability to stay calm under pressure.

  • Maintain confidentiality relating to the business and its personnel.

  • Methodical and thorough approach to work.

  • Ability to work independently and collaboratively in a team environment.

  • A desire to show initiative, progress and grow within the role.

  • Strong organisational skills with attention to detail and accuracy.

  • Ability to exercise good judgment.

  • Effectively interact with individuals across all levels.

  • Good communication skills., Previous H&S/SHEQ/QA experience would be beneficial but is not essential as full training will be provided.
